Your data and patients’ medical data matter a great deal to us. This policy clearly explains what data we collect, why we collect it and how we protect it.
1. Who we are
This website and the DentalSoft software are provided by DentalSoft (NIPT L91728018B), located at Rr. Unaza, Pallati Bardhë, 1st floor, entrance 2, 1032 Vorë, Tirana, Albania.

2. Two different roles
- The website (dentalsoft.al): when you fill in a form or contact us, we are the controller of your data.
- The DentalSoft software: the patient data a clinic records in the software belongs to the clinic. The clinic is the controller, while DentalSoft is the processor that stores and processes it only according to the clinic’s instructions and the agreement with it. Patients who want to exercise their rights should contact their dental clinic.
3. What data we collect on the website
When you fill in the contact form
Your first and last name, your phone number and its country, your email, the reason for contacting us, how you found us and your message.
When you request a demo
In addition to the data above: the clinic’s name and NIPT, address, your profession, the number of patients and dentists, your notes and whether you want to receive news by email and SMS.
Technical data
Your IP address, browser type and time of visit, which the server records automatically. When you send a form, the IP address is stored with the request to protect against spam and abuse.
We do not collect medical data through the website forms. Please do not write patients’ health information in the message field.
4. Why we use it and on what basis
- To answer your request, to send you the demo details or a quote (steps prior to entering into a contract, at your request).
- For news and updates by email or SMS, only if you agree. You can withdraw your consent at any time.
- For website security and spam prevention (legitimate interest).
- For legal obligations, e.g. invoicing and accounting, when you become a client.
We do not sell your data or give it to others for marketing purposes.
5. Third-party services
To keep the website fast and functional we use some external services. While the page loads, your browser sends them your IP address:
- Google Fonts – for the website’s fonts.
- jsDelivr and cdnjs – for loading the website’s technical files.
- ipapi.co – to detect your country and automatically set the phone prefix in the form.
- Google Maps – for the map on the contact page.
- Our hosting and email provider – where the website and the requests you send us are stored.
These services may also process data outside Albania, according to their own privacy policies.
6. Cookies
The website does not use advertising cookies or cookies to track visitors. We only use a technical session cookie when you send a form, to protect against repeated automated submissions. The Google Maps map on the contact page may set its own cookies.
If we add analytics tools in the future, we will update this policy and ask for your consent where the law requires it.
7. How long we keep data
- Form requests: up to 24 months from the last contact, unless you become a client.
- Data for news and updates: until you withdraw your consent.
- Client data and invoices: for as long as tax and accounting legislation requires.
8. How we protect data
The website and the software use encrypted connections (HTTPS/SSL). Data in the DentalSoft software is stored encrypted, on servers protected by a firewall and DDoS protection, with automatic daily backups and a development environment separate from the live one. Access is limited to authorized people only, according to the roles and permissions set by the clinic.
9. Your rights
Under the applicable personal data protection legislation, you have the right to:
- request access to and a copy of your data;
- request the correction of inaccurate data;
- request erasure or restriction of processing;
- object to processing and withdraw your consent at any time;
- receive your data in a machine-readable format (portability).
To exercise these rights, write to us at info@dentalsoft.al. We reply within 30 days. If you believe your rights have been violated, you can complain to the Commissioner for the Right to Information and Personal Data Protection (Albania) or to the Information and Privacy Agency (Kosovo).
10. Changes to this policy
We may update this policy when our services or the law change. The date of the last update is shown at the top of the page.
